This position will support a high level, energetic, fast paced executive by providing all levels of support from screening and responding to emails, scheduling, travel, expense reporting, presentations and preparing and gathering reports.

Key Job Responsibilities

• Assisting the executive in everyday tasks by handling important emails and messages;
• Sending information to advisors and peers without delay;
• Making travel and lodging reservations including verification and proactive follow up;
• Using word processing, spreadsheets, databases, and presentation software to send out valuable messaging from executive;
• Scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive;
• Being a proactive problem solver with exceptional communication skills, correct usage of grammar and meticulous attention to details;
• Conserving executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications;
• Answering phones, screening visitors, preparing reports, filing and organizing documents, recording meeting outcomes;
• Gathering and preparing all expense reports in a timely fashion;
• Providing back-up to office manager in accounting, mail distribution, phone management and any other task deemed appropriate;
• Providing new business support as time allows. This may include advisor registration, LIPQ entries, APS follow ups, and other work deemed necessary by management;
• Maintaining executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel accurately and proactively;
• Maintaining professionalism and confidentiality in all aspects of the position;
• Preparing minutes of meetings, memos, reports, letters, and other documents.

The base salary range for this position is $47 ,000 - $68 ,000 . Actual base salaries vary based on skills, experience, and geographical location. In addition to base pay, Equitable provides compensation to reward performance with base salary increases, spot bonuses, and short-term incentive compensation opportunities. Eligibility for these programs depends on level and functional area of responsibility.

Required Qualifications

• 3-5 years successful experience in related position
• Excellent written and verbal communication skills
• Time-management skills
• Ability to pay attention to detail
• Good understanding and usage of frequently used computer software and programs, such as Microsoft Office, Power Point, Excel and Teams
• Interpersonal skills with focus on concierge level service
• Flexibility in schedule as needed
• Intermediate level of problem-solving skills, research and data gathering ability, analytical skills
• Independent thinker

Preferred Qualifications

• Industry knowledge preferred
• Bachelor degree preferred
